Agreement Usage Standard

Purpose

To define when Passionate Vacations should use the Travel Services Agreement, the Group Travel Proposal & Fee Acknowledgment, or the lighter cruise booking document stack. This prevents overloading simple clients with unnecessary paperwork while still protecting the business when custom planning, proposal work, or group travel coordination is involved.

Current Standard

Passionate Vacations uses different client-facing documents depending on the type and complexity of the travel request. The Travel Services Agreement is used for custom planning, higher-touch travel planning, complex trip design, proposal work, resort comparisons, multi-destination planning, family trips with several moving parts, destination celebrations, and any travel experience requiring significant research, coordination, or advisory work. The Travel Services Agreement is not required for every simple booking. For small, straightforward individual cruise bookings, Passionate Vacations may use the Cruise Booking Confirmation Travel Details Form together with the Payment and Cancellation Policy, Protecting Your Travel Experience document, and Credit Card Authorization Instructions when applicable. The Group Travel Proposal & Fee Acknowledgment is used before detailed group planning work begins. This includes church trips, ministry retreats, couples retreats, family reunions, birthday cruises, hosted cruises, destination wedding groups, and other group travel requests.

Key Decisions

The Travel Services Agreement is the main agreement for custom planning and higher-touch client work. Small individual cruise bookings do not automatically require the full Travel Services Agreement. Simple cruise bookings may use the lighter document stack: Cruise Booking Confirmation Travel Details Form, Payment and Cancellation Policy, Protecting Your Travel Experience, and Credit Card Authorization Instructions if payment authorization is needed. Group travel opportunities require the Group Travel Proposal & Fee Acknowledgment before significant unpaid research, resort comparisons, room block requests, supplier outreach, or proposal work begins. Fee expectations and scope should be acknowledged before Passionate Vacations invests significant time into group proposals.
